Step 1
If the product has a pronounced defect, marriage, expired and cannot be sold, notify the supplier of this fact. If you find any defects, photograph them with the camera. Ideally, the acceptance should notice the defect and not accept the goods in documents. In this case, the supplier will simply physically pick up the defective product.
Step 2
If the acceptance worked negligently, and the goods were capitalized, there are difficulties with the documents. To begin with, send the supplier a return statement, which clearly states all the positions and reasons for the return. You can also attach a photo if necessary.
Step 3
If the supplier is responsible and doesn't mind issuing a return, print a return invoice. Check with the supplier for specific documentation. It may be necessary to print the return invoice for each item separately, or for groups of goods.
Step 4
Discuss the time and option for the return. There may be several options: with the next delivery, with passing transport. In any case, the supplier's representative must have a power of attorney to process the return and a copy of the return statement that you sent in advance.
Step 5
If you sent a return certificate, there is evidence of a defect in the goods, and the supplier is in no hurry to issue a return, try to negotiate with him. It is possible that you can return the goods to the supplier through an exchange without documenting. Offer the supplier to bring a similar product in addition to the order and exchange it upon delivery. So, you returned the goods to the supplier and did not complete the documents.
