Often, employees are faced with a situation when, in order to approve a loan, obtain a loan or a mortgage, bank representatives require a certified copy of a work book to be included in the set of necessary documents. If it is in the hands of a non-working applicant, this does not cause difficulties, but what should an employee do to get a certified copy of a work record kept in the organization?

Step 1

Contact a notary office to certify a copy of the employment record book, if you have it in your hands. According to the legislation of the Russian Federation, the notary will not immediately issue a certified copy. Prepare a passport or other document confirming your identity for the notarial procedure. If such documents are not available, you can use a specially issued power of attorney. After compliance with all the rules (identification, compliance with the requirements set by the law for the certified document), the notary will make a photocopy of the work book and certify it according to the established sample. As a rule, this procedure takes a little time - from several minutes to an hour.

The validity of such a copy is limited only by the validity of the work book itself. However, do not forget that when you change jobs or are fired, the notarized copy will lose its validity.

Step 2

In the case of an employment relationship formalized in accordance with the Labor Code, the work book is stored in the employing organization, therefore, to obtain a copy, contact the personnel department, personnel service, or directly to the head.

Write a statement addressed to the manager about the need to receive a certified copy of the work record book to provide data to the bank. Please note that the personnel officer has three working days to carry out the procedure.

Step 3

Get a copy of your employment record from the HR department. Make sure the copy contains all the required details. Each sheet at the bottom of the page should contain:

- seal of the organization;

- the inscription "Copy is correct";

- name, position and signature of the person authorized to certify a copy;

- date of certification.

On the last page, in addition to the above entries, must be present:

- the record "Works to the present in the position …"

- seal, name and position of the witness, his signature and date.

The validity of such a copy is 1 month from the date of certification, and when changing the place of work or when additional entries appear in the work book, the document becomes invalid.
