Sometimes, in the process of economic activity of an organization, shortages for a particular product are revealed. The reasons for this can be various, ranging from irresponsible attitude on the part of materially responsible persons and ending with natural decline. Naturally, the data on the shortage must be reflected in the accounting records.

Step 1

In order to identify a shortage of goods, conduct an inventory, that is, check the availability of products with accounting data. This should be done by the inventory commission, which is appointed by order of the head of the organization.

Step 2

After you have carried out the inventory, fill out the data on the shortage in the collation sheet (form No. INV-18). Columns 10 and 11 exist for such records. Note that the data must be entered both in physical terms and in value. Summarize below.

Step 3

Reflect the shortage based on the source of its formation. Deficiency resulting from natural wastage is a normal process. To do this, when manufacturing products, develop the norms for this loss, based on the technological conditions of transportation, storage and other external factors. If such deficiencies are found, the materially responsible person must draw up a written explanation of this phenomenon. After that, reflect the amount of the shortage with the following entry: D20 "Main production", 23 "Auxiliary production", 25 "General production costs", 26 "General business expenses", 44 "Selling expenses" K94 "Shortages and losses from damage to values".

Step 4

If the shortage was formed through the fault of one of the employees, this is confirmed only by the inventory commission. Write off the amount from the salary of the materially responsible person. But keep in mind that the withheld amount should not exceed 50% of the salary (Article 138, Chapter 21 of the Labor Code of the Russian Federation). In the accounting records, make an entry: D73 "Settlements with personnel for other operations" subaccount "Calculations for compensation for material damage" K94 "Shortages and losses from damage to valuables."

Step 5

In the event that there are no guilty persons and the amount of the shortage exceeds the rate of natural loss, write off the shortage with the following entry: D91 "Other income and expenses" subaccount "Other expenses" K94 "Shortages and losses from damage to valuables".
