An invoice is a document that will definitely be required by the accounting department of your customer as a basis for paying for your services and carrying out the corresponding expenses according to its documentation. This is a typical document, the preparation of which is not particularly difficult. It is only necessary to take into account a number of positions that must be reflected in it. Be careful when adding your own details. On its basis, your customer will form a payment order. And any mistake in it is fraught with the fact that the money will not reach you.
It is necessary
- - a computer;
- - a special accounting program or MS Office software (Excel is optimal, but Word can also be used);
- - details: yours and the customer's.
Instructions
Step 1
Each account must contain a name ("ACCOUNT") and a number. It will not be superfluous to also indicate the output data of the contract (number, date of conclusion). Below you should indicate the details - the customer. Everything is possible, but some are limited only by the name and legal address. Even below - your own full details, including bank details. In the account, you can call yourself a contractor, and a partner - a customer, the wordings "payer" and "recipient" are also acceptable.
Step 2
After mentioning the parties and their details, list in the form of a table all the services you provided. Each service should be assigned a separate line. The line should contain the name of the service provided, its quantitative indicator, unit of measure, price per unit of measure and the total amount. The bottom line of the table should contain the entire amount in figures due to payment on the invoice. If you are a VAT payer, you should devote a separate column of the table to him., and at the bottom add one more line to indicate the amount to be paid including VAT. If you are exempted from paying this tax, indicate that VAT is not charged, it is advisable to name the reason. Most often, this is the use of a simplified taxation system with a link to the corresponding notification.
Step 3
Below the table, in a separate line, indicate how many services were provided and for what amount. The number of services and the amount are written in numbers, then on a new line, how much is due. Everything on this line is written in words and the invoice is certified by the signatures of the director and the chief accountant. If you are an individual entrepreneur or combine the functions of a director and chief accountant of an LLC, you should sign for both. If you have a seal, the invoice is also certified by it.
Step 4
The finished invoice can be taken to the customer's office, sent by fax, handed over to the customer's representatives in their own or neutral territory, or sent by mail. In practice, most often the invoice is initially issued in electronic form, on the basis of which the payment for services is made by the customer's accounting department, and the original is provided to him by anyone. in a convenient way.
